Agreement Overview

By renting from Beyond Blooms, you agree to these Terms & Conditions. If you do not agree, please do not proceed with our services.

Rental Terms

• All rental items—including floral arrangements, arches, backdrops, decor and accessories—remain the property of Beyond Blooms.
• Rentals include local delivery (within 40 miles), one-time setup, and pickup by 10 PM.
• Extended delivery, late-night pickup, and onsite relocation must be arranged in advance for an additional fee.
• Do not alter, modify, or move rental items. Unauthorized handling voids our liability, and damages from move, modification, misuse, or due to event disruption will be charged at 3–4x the rental cost.
• Clients are responsible for any damage resulting from negligence or event-related incidents during rental duration and prior to pick up. Repair or replacement fees will be charged at 3–4 times the rental cost.
• In case of rain or severe weather, items must be moved indoors or a backup plan must be provided. Beyond Blooms reserves the right to retrieve items without refund to protect product quality.

Retainer Fees, Payments & Additional Charges

• A 35% non-refundable retainer secures your rental date (50% for custom orders). Retainers are applied to the total balance.
• Full payment is due 30 days before the event. Late payments may result in cancellation and forfeiture of the contract.
• Additional charges include:
  • Late-night pickup (after 10 PM): $50 per hour
  • Extended rental period: Varies by request
  • Delivery beyond 40 miles: $2 per mile
  • Out-of-range delivery: Quoted per request
  • Onsite relocation service: $175–$300
  • Minor customization fee (adjustments to Signature designs): Quoted per request
  • Additional services (extra consultations, on-site visits, installations, transfers, extended tear-downs): Quoted per request

Cancellation Policy

Pre-Designed Rentals

• Retainer is non-refundable.
• 31–60 Days Before Event: $250 cancellation fee.
• Less Than 30 Days: Full balance is due; no refunds.

Bespoke Rentals

• Retainer is non-refundable.
• Within 75 Days of Event: $400 cancellation fee or 10% of total order (whichever is greater).
• Less Than 45 Days: Full balance is due; no refunds.
• Custom Orders: No refunds once production begins (floral sourcing and design work).

Rescheduling & Emergency Exceptions

• One-time reschedule: Free if requested at least 60 days before the event, subject to availability.
• Emergency cancellations (venue closure, natural disasters, serious illness): May qualify for partial credit toward a future event within one year (case-by-case review).

Adjustments & Customization Policy

• Substitutions: If materials are unavailable due to supply or seasonal issues, Beyond Blooms may substitute items while maintaining design integrity.
• Price Adjustments: Prices may change due to unforeseen supply cost increases. Clients will be notified and have 5 days to cancel if you do not accept the changes.
• Additional Fees: Custom modifications and extra services will incur additional fees, communicated in advance.

Creative Freedom & Design Variations

• Beyond Blooms retains artistic discretion in floral designs.
• Exact replication of past designs or inspiration photos is not guaranteed, but the overall aesthetic and color scheme will be maintained.
• Client-provided visual references serve as inspiration, not exact templates.

Venue & Vendor Coordination

• Clients must confirm venue setup requirements. Beyond Blooms is not responsible for venue restrictions or size limitations.
• Clients must inform Beyond Blooms of vendor schedule changes to prevent service disruptions.

Liability & Indemnification

• Beyond Blooms’ liability is limited to the rental amount paid.
• Clients are responsible for any damages, injuries, or claims resulting from improper use of rental items.
• Beyond Blooms is not liable for venue or third-party issues that affect rental performance.
